This policy explains what Champion Her Shot (“CHS”, “we”, “us”) collects, why, and what you can do about it. It covers championhershot.com and your CHS membership.
The short version: we collect what we need to run memberships, contests, and the photographer directory. We do not sell your information, and we do not share it with advertisers.
1. What we collect
Account information. Your email address and name. We use passwordless sign-in, so we never collect or store a password from you.
Membership and payment information. Your subscription status, renewal date, and payment history. Payments are processed by Stripe. Card numbers go directly to Stripe — they do not reach our servers, and we never store them. We keep a Stripe customer reference so we can manage your subscription.
Profile and directory information. Anything you choose to publish: bio, photographs, location and markets, sports and specialties, availability, experience, links, and how you prefer to be contacted. You control whether your profile is visible in the directory.
Contest entries. The images you submit and their metadata, plus scores and judging notes. Judging notes are internal.
Hiring-manager updates. If you ask to hear about new photographers and contest results, we collect your work email, job title, and name.
Technical information. Standard server logs, and information needed to keep the site secure, including Cloudflare Turnstile checks on the sign-in form to block automated abuse.
2. How we use it
- To sign you in and keep your account secure
- To take payment, manage renewals, and handle cancellations
- To run contests: accept entries, judge them, and publish results
- To publish your directory profile, if you have chosen to make it visible
- To send you transactional email — sign-in codes, receipts, contest and judging notifications
- To send updates you have asked for, such as new photographers and contest winners
- To protect the site against fraud and abuse, and to meet legal obligations
We do not use your information for advertising, and we do not build advertising profiles.
3. What is public
Your directory profile and the contest work you have published are public — that is the point of them. Your email address is not published; if you enable contact through your profile, we obscure your address so it is usable by a person but harder for automated harvesters to collect.
Your payment details, membership status, and judging notes are never public.
4. Who we share it with
We share information with service providers who process it on our behalf, under contract, and only for the purposes above:
- Stripe — payments and subscriptions
- Mailgun — sending email
- Cloudflare — media hosting (R2), and bot protection (Turnstile)
- SiteGround — website hosting
We may disclose information if the law requires it, or to protect our rights, our members’ safety, or the integrity of a contest. If CHS is ever acquired or merged, information may transfer as part of that transaction; we will tell members before their information becomes subject to a different policy.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
5. How long we keep it
We keep account and membership information for as long as your account is open, and afterwards only as long as we need it for tax, accounting, and legal purposes.
Contest entries and published results are kept as a permanent record of the contest.
We keep an internal audit trail of payment and membership events so we can resolve billing disputes. That trail is written with your email address stored as a one-way hash and your IP address truncated, and it is purged automatically on a schedule.
Sign-in codes are short-lived and expire automatically.
6. Your choices and rights
You can edit or hide your directory profile at any time from your dashboard. You can stop receiving update emails at any time by using the unsubscribe link where one is provided, or by emailing us and asking. Transactional email, such as sign-in codes and payment receipts, is part of the service and cannot be switched off while your account is open.
You can ask us to give you a copy of your information, correct it, or delete it. Email hey@championhershot.com and we will respond within 30 days. Deleting your account does not remove a published contest result, and we may keep records we are legally required to keep.
Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA, including the right to object to processing and the right to complain to a supervisory authority. We do not discriminate against anyone for exercising these rights.
7. Cookies
We use cookies that are necessary for the site to work: keeping you signed in, remembering your session, and security. We do not use advertising or cross-site tracking cookies.
8. Where your information is processed
CHS is based in the United States and our service providers process information in the United States. If you are outside the US, you are sending your information to the US, where privacy law differs from your own.
9. Children
CHS is for adults. You must be at least 18 to hold an account. We do not knowingly collect information from children. If you believe a child has given us information, write to us and we will delete it.
10. Security
We use encrypted connections, passwordless sign-in, bot protection on authentication, and a payment processor that keeps card data out of our systems. No service can promise perfect security, but if a breach affects your information we will tell you.
11. Changes to this policy
We may update this policy. When we make a material change we will update the date at the top and notify members by email.
